Machupicchu Birding thanks you for choosing us. Our goal is to make your birding journey in Peru an exceptional and memorable experience.

Before booking, we kindly ask you to read and accept our policies, terms, and conditions. These guidelines help ensure a clear and positive relationship between Machupicchu Birding and our guests.

1. TOUR OPERATION

Machupicchu Birding organizes and coordinates birdwatching, nature, wildlife, and photography experiences through a network of specialized guides, transportation providers, accommodations, local operators, and other independent service providers.

Some services are provided by independent third parties. Therefore, Machupicchu Birding cannot be held responsible for delays, cancellations, accidents, losses, damages, or inconveniences caused by circumstances beyond our reasonable control or by the actions or omissions of independent service providers.

These circumstances may include strikes, protests, government actions, road closures, adverse weather conditions, natural events, technical problems, or other unforeseen situations that may affect the itinerary or result in additional costs.

Machupicchu Birding reserves the right to accept, modify, or decline a booking when circumstances reasonably require it. By requesting or confirming a service with us, the traveler acknowledges and accepts these terms and conditions.

We are committed to providing clear information and advice regarding reservations, itineraries, schedules, prices, requirements, safety recommendations, and any relevant conditions associated with the services booked.

2. TRAVELING IN CUSCO AND SOUTHERN PERU

Birding in Cusco and southern Peru requires flexibility, patience, respect for local conditions, and a willingness to adapt. Weather, road conditions, wildlife activity, and other circumstances may change unexpectedly during a trip.

Our itineraries are carefully planned, but nature cannot always be predicted. Bird sightings, wildlife encounters, and photographic opportunities cannot be guaranteed.

3. FORCE MAJEURE

Force majeure refers to events that cannot reasonably be anticipated, prevented, or controlled by Machupicchu Birding. These may include natural disasters, extreme weather, wildfires, protests, strikes, civil disturbances, government restrictions, road closures, health emergencies, or other circumstances beyond our control.

In such situations, we may modify, postpone, or cancel part of an itinerary when necessary for the safety and well-being of our guests.

By booking a birdwatching, nature, wildlife, or photography experience with Machupicchu Birding, travelers acknowledge the inherent risks associated with outdoor travel and nature-based activities.

All tour programs are carefully designed and presented to the client before confirmation.

ITINERARY CHANGES DUE TO UNFORESEEN CIRCUMSTANCES

Our itineraries may be modified when necessary due to circumstances beyond our reasonable control, including natural disasters, strikes, protests, road closures, adverse weather, or other force majeure events.

Any changes will be made with priority given to the safety and well-being of our guests, in accordance with applicable Peruvian tourism regulations, including Law No. 29408 – General Tourism Law.

Machupicchu Birding reserves the right to modify, postpone, or, as a last resort, cancel a tour when circumstances make this necessary. When possible, we will provide our guests with clear information regarding the reasons for any such changes.

CONFIRMED BOOKINGS

A booking is confirmed once the required deposit has been received, according to the quotation and payment terms provided to the client.

The remaining balance must be paid within the agreed deadline stated in the booking confirmation. Failure to complete the payment may result in the cancellation of the tour.

Any transaction fees or charges applied by banks, payment platforms, or other payment providers are the responsibility of the client unless otherwise stated in the quotation.

CURRENCY AND EXCHANGE RATES

Tour prices may be quoted in U.S. dollars or Peruvian soles, depending on the service and quotation provided.

When payment is made in a different currency from the one stated in the quotation, the applicable exchange rate will be confirmed at the time of payment. Any bank charges, currency conversion fees, or payment processing fees are the responsibility of the client unless otherwise agreed.

TRAVEL DOCUMENTATION

Machupicchu Birding will provide the booking confirmation and relevant information regarding the services included in the client’s itinerary.

Travelers are responsible for carrying valid identification and travel documents required for their journey, including a passport, visa, or other documentation when applicable.

The personal information provided for bookings must be accurate and correspond to the traveler’s valid identification documents. This is particularly important when reservations require advance registration with tourism authorities, protected areas, attractions, accommodations, or transportation providers.

If incorrect or incomplete information provided by the traveler results in changes, cancellations, or additional costs, these expenses will be the responsibility of the traveler.

STUDENT IDENTIFICATION

Where a student discount applies, a valid university student card or international ISIC card may be required at the time of booking and at the beginning of the tour, together with the original identification document used for the reservation.

LOSS OR DAMAGE OF PERSONAL BELONGINGS

During birdwatching tours and nature excursions, travelers are responsible for their personal belongings, photographic equipment, binoculars, and other valuables. Machupicchu Birding is not responsible for loss, theft, or damage caused by circumstances beyond our control.

We recommend keeping valuables secure and under personal supervision throughout the experience. When staying at independent accommodations, guests should follow the property’s security recommendations and use the available facilities for valuable items.

CANCELLATIONS, CHANGES AND REFUNDS

Cancellation and refund conditions depend on the specific tour, services booked, and the policies of our suppliers.

Services that require advance payment or non-refundable reservations, such as entrance tickets, permits, transportation, accommodations, or specialized birding services, may be subject to non-refundable charges.

For cancellation requests, any applicable refund will be calculated according to the cancellation policy communicated in the quotation or booking confirmation, including any non-refundable costs or transaction fees.

No refunds will normally be provided for:

  • No-shows or failure to attend the scheduled tour.

  • Late arrival or missed transportation caused by the traveler.

  • Unused portions of a tour or package.

  • Services that have already been provided.

  • Non-refundable services or tickets purchased in advance.

If a tour is affected by weather, road closures, government restrictions, natural events, or other force majeure circumstances, Machupicchu Birding may modify the itinerary or services when necessary for safety. Refunds, if applicable, will depend on the recoverable amounts provided by our suppliers.

During peak seasons, additional cancellation conditions may apply when imposed by hotels, transportation companies, protected areas, attractions, or other service providers. These conditions will be communicated to the traveler whenever applicable.

PICK-UP AND DEPARTURE

Pick-up times are specified in the tour program or booking confirmation. Travelers must be ready at the agreed meeting point at the scheduled time.

If a traveler is not present at the agreed time, the service may depart as scheduled and may be considered a no-show. In such cases, Machupicchu Birding cannot guarantee a refund or alternative transportation.

For safety reasons, Machupicchu Birding reserves the right to refuse or cancel participation if a traveler is visibly intoxicated or unable to participate safely in the scheduled activity.

ACCOMMODATION

When accommodation is included in a tour, the selected property will be specified in the booking confirmation, subject to availability.

If the confirmed accommodation becomes unavailable, Machupicchu Birding may provide an alternative property of the same or comparable category and will inform the traveler as soon as reasonably possible.

NATURE AND BIRDING EXPERIENCES

Our birdwatching experiences take place in natural environments where weather, wildlife activity, terrain, and accessibility may vary.

Bird sightings and specific species cannot be guaranteed, as wildlife is unpredictable and depends on natural conditions. Our guides will make every reasonable effort to maximize birding opportunities while prioritizing the safety of our guests and respect for wildlife.

Travelers are expected to follow the instructions of their guide and respect local conservation guidelines, protected areas, wildlife, communities, and natural habitats.

XII. CONDITIONS DURING THE TOUR

Tours and excursions will take place on the dates and at the times specified in the confirmed itinerary.

Schedules and itineraries may be affected by weather conditions, road conditions, landslides, strikes, protests, government restrictions, or other unforeseen circumstances beyond our control.

Before each tour, Machupicchu Birding will provide relevant information regarding the itinerary, walking conditions, altitude, weather, and any important considerations for the planned experience.

XIII. MODIFICATIONS

Machupicchu Birding reserves the right to modify services, itineraries, schedules, or prices when necessary. Any significant changes will be communicated to the traveler as soon as reasonably possible.

Changes to an itinerary may be made when required by weather, safety conditions, access restrictions, conservation regulations, or other circumstances beyond our control. Our priority is always the safety and well-being of our guests.

XIV. CLIENT RESPONSIBILITIES

Travelers are responsible for carrying valid travel documents, including passports, visas, travel insurance, and any other documentation required for their trip.

Machupicchu Birding is not responsible for additional expenses, missed transportation, accommodation, or services resulting from incomplete or invalid documentation, late arrival, or failure to comply with the requirements of the tour.

Guests are also responsible for following the instructions of their guide and respecting safety guidelines, local communities, wildlife, protected areas, and conservation regulations.

Machupicchu Birding is committed to providing professional, reliable, and high-quality birdwatching and nature experiences.

We organize our tours with care and due diligence, providing clear information and appropriate support before and during each experience. While unforeseen circumstances may affect any nature-based journey, we will make every reasonable effort to ensure that our guests enjoy a safe, authentic, and memorable experience.

XVII. MINORS

Unless otherwise specified, travelers under 18 years of age are considered minors.

Minors must travel with a parent, legal guardian, or an authorized responsible adult and must carry any documentation required by Peruvian law for travel and participation in the tour.

Additional requirements may apply depending on the destination, accommodation, transportation provider, or specific tour.

Please inform Machupicchu Birding in advance of any allergies, dietary requirements, mobility considerations, or other relevant travel needs. Travelers with medical conditions should consult their physician before traveling or participating in outdoor activities.
